I. General Summary

This position directs the Hamilton County Leadership Academy

II. Prerequisites

A.  Bachelor’s degree preferred


B.  Experience in not for profit management preferred


C.  Strong organizational, communication, marketing and fundraising skills


D.  Knowledge of Hamilton County and the persons and organizations in community affairs and leadership roles

III. Duties and Responsibilities

A. Develop and direct the Hamilton County Leadership Academy Curriculum

I.    Plan and coordinate individual sessions

a.  Set program agenda with curriculum committee – modifying as necessary during the course of the year.

b.  Select meeting location – work with host site on details (space requirements, room set up, registration table, AV equipment, parking, etc.).

c.  Recruit presenters – initial contact by phone, followed up by a confirmation letter to include details of presentation (time, location, content, fellow presenters and need for bio sheet). Include a copy of the agenda, an abbreviated class list and a brochure (if the speaker is not familiar with the HCLA) in the  mailing.

d.  Gather bio sheets from presenters and forward to Dean.

e.  Distribute agendas and background material to class participants (agendas for the next month are always distributed at the previous month’s session – i.e. October’s session agenda is made available to class participants at the September session). Participants that are absent for a session are mailed the following month’s agenda.

f.  Prepare materials for program day – copies of attendance sheet, current program day agenda, evaluations the following month’s program day agenda and any relevant articles or materials.

g. Handle refreshments – breakfast, break snacks/drinks, lunch.

h. Send thank you letters to speakers following the program day.

i. Review, tabulate and file evaluations.

j. Attend class program days – ensure that the program runs smoothly, assist Dean.

k. Reminders to class participants about graduation requirements and guidance on class projects – keep attendance records, updates on community meeting report status and review monthly

l. Handle class members’ questions and concerns.

2.  Opening Retreat

a.  Work with Dean and curriculum committee to coordinate program.

b. Select site, meals, break snacks, room assignments, and free time activities.

c. Arrange for Dean/facilitators/speakers.

d. Correspondence with class.

e. Prepare class binders – include course curriculum, graduation requirements, project guidelines and class list.

f.   Prepare name tags and placards.

g. Arrange for AV equipment as needed.

h. Prepare, tabulate and file evaluations.

i. Present a segment on graduation requirements, project guidelines and overall expectations of class participants.

3.  Class Project Assistance

a. Work with board to solicit RFPs from not for profits and governmental entities for class projects

b.   Develop and review packets for RFPs

c.   Work with class to review proposals and determine projects

d.   Facilitate regular correspondence between class groups and project sponsors     

4. Graduation

a. Select site – work with site event coordinator to select hors d'oeuvres/dinner, entertainment, menu, decorations, AV equipment, etc.

b.  Work with the board to select a speaker.

c.  Prepare copy for invitations and programs - work with printer to design.

d. Mail invitations to current class, Dean, all alumni, board members, contributors and local government officials, Take RSVP's.

e. Arrange for graduation plaques.

IV. Recruitment/Marketing/PR

A.  Brochure/Applications

1.  Review, revise and update the brochure and application as needed.

2.  Work with the board awareness and recruitment committees to increase awareness of the HCLA program and application process.

3.  Send press releases to local media contacts and chamber directors.

4.  Answer requests for more information/potential applicants’ questions about the HCLA.

5. Send applications to potential candidates.

6. Accept applications.

7. Administrate and facilitate the selection process.

8. Send letters of acceptance and non-acceptance.

9. Administer scholarships.

10. Send letters of introduction of new class to board

11.Press Release to local media contacts and chamber directors.

12. Promote Hamilton County Leadership Academy through visibility and participation in county meeting and organizations – make presentations as possible, including local chamber tv shows

13. Manage and update website on regular basis

1. New class lists.

2. Graduation/projects

3. Distinguished Alumnus/Alumna Award

4. Acceptance of applications

5. Grants, new programs, etc. (anything of significance)

C. Research, identify, develop and facilitate new program opportunities

1. leverage partnerships with other community organizations

V. Fundraising

A. Work with the funding committee to develop fundraising plan


B. Research and write Grants


C. Correspondence/public appearances before town boards and county council requesting funds


D. Assist in executing fundraising plan


E. Correspond with corporate sponsors


F. Annual solicitation of contributions from alumni

VI.    Board of Directors

A. Arrange regular board meetings (6 annually)– notify members at least two

weeks in advance.            


B. Maintain minutes and records of board meetings.


C. Work with board and committees, attend committee meetings, and disseminate reports from committee meetings.


D. Schedule an annual board retreat in April.  Review strategic plan and update action items.            


E. Notify board of new class, course curriculum, graduation, etc.


F. Maintain directors & officer insurance policy

VII. General Administration

A. Financial Management

1. Prepare annual budget with treasurer

2. Oversee billing---tuition fees, alumni association dues

3. Pay bills

4. Keep books - prepare a monthly financial report

5. Maintain financial integrity – including regular meetings with CPA & treasurer

6. Manage credit card processing

B. Maintain current mailing lists of board, alumni, current class, contributors, government officials, not for profits.


C. Continuing Education/Training

1. Be an active member of various organizations such as:
a. Indiana Leadership Association annual meeting and region roundtables
b. Community Leadership Association
i. Attend conference (if financially feasible)
